FAQ

How can I book?

You can get prices book and pay online, instantly, using our online booking portal. You can also book by phone, or by submitting 'Contact us' form, found on the top right corner of the home page. We will ask you for details regarding the transfer such as flight details (if applicable) and arrival/pick up times, destination location, passenger numbers, luggage size and contact information for point of contact on the day.

What’s the latest time I can place my booking?

You may book your transfer and charter service online up to 6 hours before service pick up time. Last minute transfers, within the 6 hour period, can be made by phone, to ensure availability of vehicles and drivers.

How can I cancel my booking?

You can cancel your booking on-line in the "My Booking" section. Once we receive your cancellation request we will process your cancellation and you will receive a cancellation confirmation. If you can't access 'My booking' portal, please email us or call us on 07 55114938. If you cancel within 48 hours of scheduled service a 50% cancellation fee will be applied to the refundable amount.

My flight times have changed, what do I need to do?

You can also notify us of any changes by calling our office on 07 5511 4938. Please give us as much advance warning as possible.

What happens if my journey details change?

Should your journey details change please email us with your new details and we will update your booking accordingly. There may be increase in price if the new journey involves further distance/time, different vehicle type, number of passengers etc.

Where will I meet the driver at the airport?

Your driver will be waiting for you on entrty into the arrivals lounge of the airport, holding a hand-held sign with the lead passengers name, or group name.

What if I can't find my driver?

If you can't locate your driver, please call our reservaions team on 07 55114938 and our operations team will help you locate the driver. Please note, if your driver is not in place at scheduled pickup time, your service will be complimentary. A service voucher will be issued to the value of your original booking.

What happens if my flight is delayed ?

Your flight will be monitored for delays, to ensure your driver will be waiting for you at the correct time. If your flight is delayed, your reservation will be updated, automatically. Please note we will do everything in our power to accommodate you in unforseen circumstances beyond your control, however, updates to the new arrival time will be subject to availability.

Where will I meet the driver at the Train Station?

Your driver will meet you in the arrivals area of the train station, holding a sign showing the lead passenger name or group name. If you can not locate the driver please call 07 5511 4938.

I'm traveling with surf boards, are there additional charges?

If you are traveling with surf boards, please provide details such as type and size in the 'Addiditonal information' section, at the time of the booking. Unless otherwise specified, there are no extra charges for surf boards. Please ensure that you select a suitable vehicle size for the group and luggage amount.

I'm not sure which vehicle to select / there is no vehicle for our group

If you would like to make a booking for a large group and there is no vehicle listed online, or if the vehicles listed are not suitable please contact us. In most cases we can organise transportation with multiple buses or several smaller vehicles.

Do you provide child seats?

Child and baby seats are available on request. You can select the number of seats required on the booking page. Please note that we do not guarantee that the seats provided will be perfect fit for your child.

Whats the size of a Medium and Small bag?

The average Hight of a Medium Luggage is around 76cm / 30 inches and Width of around 45cm / 18 inches. Small or cabin luggage has Height of around 48cm / 19 inches and Width of around 32cm / 13 inches. If you have large or oversized luggage please specify the dimensions in the special instructions field of the booking form. Note that it is your responsibility to select a vehicle with the correct luggage capacity.

Will I be sharing the vehicle with other passengers?

For private transfers you and your group will be the sole occupants of the vehicle. For shuttle transfers you will share the vehicle with other passengers.

What is a private transfer?

A private transfer service is a direct, door to door service. You will not be sharing the vehicle with passengers that are not in your party and there are no extra stops to your destination. The prices for private transfers are per vehicle, not per passenger.

What is a shuttle transfer?

A shuttle transfer is usually a shared bus or coach, which sometimes entails waiting for other passengers and making stops at additional locations. Occasionally, the transfer will be collecting passengers from two or more flights. The waiting times will be kept to a minimum but shuttle transfers do take longer than private transfers and this is reflected in the price difference. All collection times are given as an approximate guideline and are not always accurate due to the nature of shuttle transfers. Prices for shuttle transfers are per person.

Does the airport transfer take us directly to our accommodation?

The private transfer service take you directly to your accommodation.The shared shuttle service will take you to your accommodation or the nearest pick-up / drop-off point to your accommodation.

Are there any extra charges?

Any extras will be shown at the time of booking. The price total on your confirmation is final. There are no hidden extras.

Do I have to tip the driver?

Gratuity is welcome, if you feel that the driver superseded your expectations, but not compulsory and entirely at your discretion.

Payment terms

What's included in the price?

All of our prices are inclusive of all taxes, toll road charges, airport parking fees. There are no hidden charges.

If you book an airport pick-up that includes Meet & Greet, your fare also includes flight tracking and a 45-minute waiting time calculated from the time your flight arrives. For non-airport pick-ups, we allow 10 minutes waiting time, calculated from the scheduled pick-up time.

Amendments to your journey and special requests may incur an additional charge.

How do I pay?
Invoice payments

When completing your booking, you will be offered 2 payment options. If you chose to pay by invoice, one will be generated and sent to your nominated email address. All payments are to be finalised no later than 14 days prior to the service date. All invoices are payable by direct deposit into our nominated bank account provided on the invoice.

Credit card payments

We currently accept Visa and MasterCard as forms of payment.

Is it safe and secure?

Your card details will be encrypted and the connection is secured with TLS/SSL, ensuring that your card details are safe at all times.

Cancellations and changes

Changes

After making a booking, changes may be made to the booking. Major changes to bookings, which involve additional trip time, as well as changes to routes, may entail additional costs, which are to be defined at the time of the requested change. The passenger will be informed by Gold Coast Bus Co about any cost increases in due time and in a suitable manner.

Cancellations

You will not be charged for cancellations provided that you cancel at least 24 hours before the scheduled pick-up time.

You can cancel your reservation on-line, over the phone, or via email up to 24 hours before pick-up. Cancellations within 24 hours of service will incur a 50% cancellation fee.

We will advise you as soon as possible to the e-mail address you have provided, if for any reason the service can not be provided and as a result your booking needs to be cancelled.

By making a booking online, via email or over the phone, you agree to a pay the full cost of the booked service in case of a cancellation within the chargeable cancellation period.

Lost and found

If you left something behind in one of our vehicles please let us know by filling out the contact form at the bottom of the page.

We will contact you immediately if we find your item.

Baggage

Please inform us at the time of booking if you wish to travel with excess baggage. This is to ensure that the vehicle provided can accommodate you. The passenger(s) shall be liable for all expenses incurred should additional vehicles be required to transport non-declared excess or oversized luggage.

Standard baggage sizing:

Please ensure that all of your baggage is labelled with your name and address to avoid any confusion.

Our friendly drivers will load your baggage into the baggage compartments.

Terms and conditions

By making a booking with Gold Coast Bus Co, you confirm that you have read, understand and accept the following conditions.

We may alter these terms and conditions from time to time and post the new version on our website, following which all use of our website will be governed by the new version. You must check the terms and conditions on the website regularly.

Our terms and conditions and your use of our web site are governed by local laws, and in the event of any dispute under our contract, you agree to submit to the exclusive jurisdiction of the local courts.

In these booking conditions references to "you" and "your" and "passenger(s)" include the person named on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is transferred.

User Agreement governing the use of the Gold Coast Bus Co website

When placing a booking you undertake to us that all the details you have supplied are correct, including passenger name, dates pick up information and credit or debit card details. If there are changes to the details supplied, it will be your responsibility to contact request changes and us.

Gold Coast Bus Co will put its' best endeavors to find and rectify any errors and omission as quickly as possible. However, there may be times when obvious errors occur such as the price or some other detail displayed being incorrect. In this case Gold Coast Bus Co shall reserve the right to cancel that reservation and the customer will not have any liability to this regard.

Use of our website content by third parties for any purpose other than booking transfers is prohibited, including the modification, subsequent publication and total or partial reproduction or representation of the same without the express consent of Gold Coast Bus Co.

Contract

Gold Coast Bus Co acts as a booking agent and service provider the contract for the provision of the transportation service is between you and us, Gold Coast Bus Co. When submit your request for a service, your reservation details are sent to the reservations team and only when the reservations team accepts your reservation, a confirmation email is sent to you and the contract between you and Gold Coast Bus Co.

By booking a service on our website, you are entering into a contract with Gold Coast Bus Co. You agree to be legally bound by these terms and conditions when you make a reservation.

Liability

In agreeing to these terms and conditions you accept that Gold Coast Bus Co will in no way be held responsible for any losses, expenses or claims made by you in the event of any problem associated with the service, the incorrect processing of your booking by the person booking the service, errors made by you when making the booking or inaccurate or incomplete information provided to us during the booking process.

Gold Coast Bus Co will not be responsible for any losses you may suffer (including for example missed flights) due to your failure to allow sufficient time for your journey.

Availability of Service

We are entitled to refuse any order placed by you. We do not guarantee to successfully allocate a service to every booking request. In the unlikely event that we are unable to allocate a service to your booking request we will email you to advise you as soon as possible.

Our on-line booking services are provided on an "as is" basis and we do not make any representation or warranty, express or implied, as to the availability of any services.

Payment

You confirm that the payment details you provide to us for the purpose of booking a service are correct, that the credit or debit card which you use is your own and that there are sufficient funds or credit facilities to cover the cost of the service.

If you choose to pay the driver, please ensure that you have the correct cash amount available, in local currency, unless otherwise stated in your booking confirmation voucher.

Amendments

Changes to your reservation must be submitted via the "My Booking" section using the details contained on your confirmation email, or contact to us, in writing, via e-mail.

You can make changes to your reservation on-line up to 48 hours before the pick-up or arrival time. After this period you must contact us directly by calling the number provided in your booking confirmation email. All amendments are subject to availability.

Cancellations

You will not be charged for cancellations provided that you cancel at least 24 hours before the booked transfer pick-up time.

Waiting Times, Contact Procedure and No-show Transfers

At the time of the transfer, the driver will wait at the agreed airport pick-up point for a maximum of 45 minutes from the time of flight arrival. The free waiting time from any other pickup point shall be restricted to 10 minutes after the agreed pick up time.

In the unlikely event that you cannot locate the driver at the meeting point, or if you are delayed in customs, immigration, baggage collection or lost luggage, it is the passenger(s) responsibility to call the emergency number provided in the booking confirmation email to make contact with the driver.

If the passenger(s) fail to call the emergency contact number within 60 minutes of the actual landing time for airport collections, and within 10 minutes for non-airport collections, and as such the service provider is not made aware of the problem, the service will be considered a no-show and you accept to pay the full cost of the booked service.

Unused transfers are non refundable. You agree to pay for no show transfers that were made available to you.

Delayed Flights

Your flight will be monitored for delays by the local dispatch office and in the case that your flight is delayed your reservation will be automatically updated to the arrival time of the flight. If the arrival flight is delayed for more than two hours and/or if there is no information provided by the airline about the new arrival time of the flight, the Gold Coast Bus Co does not guarantee that there will be a driver and vehicle available at the actual arrival time of the flight.

Luggage

Please inform us at the time of booking if you wish to travel with excess baggage. This is to ensure that the vehicle provided can accommodate you. The passenger(s) shall be liable for all expenses incurred should additional vehicles be required to transport non-declared excess or oversized luggage.

Special Requests, Trip Time and Vehicles

During the booking process you may request extra services. We will endeavour to pass on all such requests to the service provider, however we cannot guarantee that they will be met, and we will have no liability to you if they are not. Child / baby seats will be provided if requested whenever possible, however there may be rare instances when such seats are unable to be provided due to unforeseen last-minute vehicle substitution, for example. Please note that we do not guarantee that the seats provided will be perfect fit for your child.

The distance and trip time provided are for planning purposes only. You may find that construction projects, traffic, weather, or other events may cause conditions to differ from the information published and you should plan your trip accordingly.

The images of the vehicle make and model shown on the quote page are for illustration purpose only and Gold Coast Bus Co does not guarantee that these exact vehicles will be provided by the service provider.

Gold Coast Bus Co makes no guarantee of the suitability of a particular service for your request and is not responsible for the choice you make.

Force Majeure

Gold Coast Bus Co and the service provider cannot be held liable for delays, changes or cancellation of service due to force majeure, or to other circumstances that are unforeseeable or beyond the service provider control, such as accidents suffered by third parties on the transfer route, police checkpoints, acts of terrorism, extreme weather conditions etc.
